Answering Service Case Studies

Our answering services support organizations across a wide range of industries. These case studies show how we adapt call handling, message delivery, and reporting to meet specific business needs.

If your industry is not listed, contact us to discuss your requirements. These examples represent only a portion of the businesses we serve and the solutions we provide.

Hospice and Home Health

Case Study: Client Since 1989

One of our longest client relationships is with a St. Louis-based hospice organization, which we have served continuously since 1989. We support more than 30 home health and hospice offices. A HIPAA-compliant secure messaging application helps us deliver and document patient-related calls promptly.

When an on-call nurse reads a message, the application sends a delivery confirmation to our system. The recipient and delivery time become part of the permanent record. If a message remains unread beyond the organization’s specified interval, an operator follows the agreed escalation procedure. This supports timely follow-up according to the client’s requirements.

Another hospice needed to distinguish new patient referrals from existing patient calls. The client securely provides a daily patient census. Operators first ask for the patient’s name and check the directory. Calls concerning listed patients go to the on-call nurse; new referrals go to the supervisor. The office receives an encrypted daily report of calls handled during the previous 24 hours.

Reporting and Accountability: Daily reports document when a patient called, who received the message, when it was delivered, and any intervening actions. Unsuccessful contact attempts are also recorded. Caller ID helps staff identify callers when a conversation is interrupted or the caller provides incomplete information.

Hospitals and Medical Supply Centers

Case Study 1: Client from 1999 to 2013

A hospital group needed a customized system for 61 biomedical offices. We answered using the hospital’s name, identified the requested service, and routed each call to the correct department and facility. Calls outside X-ray, imaging, or dictation went to the biomedical department. Operators also identified each call as routine, urgent, or STAT and followed dispatch instructions based on urgency and time of day.

Reporting and Accountability: Department managers and the corporate office received detailed message reports tracking equipment repairs and work orders around the clock. Reports also documented the responsiveness of biomedical technicians and call center agents.

Case Study 2: Client Since 1991

Since 1991, we have handled after-hours, weekend, and holiday calls for a nationally recognized pharmaceutical company. We have refined the procedures to reflect the company’s services and products, screening calls so that only medical questions reach the on-call pharmacist.

Reporting and Accountability: Medical inquiries are documented and dispatched to the pharmacist. Callers with order, shipping, or billing questions are asked to contact the office during business hours. Secure call recordings support review when questions arise.

Real Estate

Case Study 1:

With the broker’s written permission, we use daily MARIS listing downloads and a custom directory of agents and mobile numbers to route property inquiries. Operators search by agent name or property address, then transfer the caller to the listing agent. Caller ID information or a recognizable service number helps agents identify incoming prospect calls.

Reporting and Accountability: Listings are linked to the responsible agent and updated daily. Inquiries about properties not found in the directory go to the broker. Transfers preserve the caller’s number for follow-up, and calls other than solicitations are directed to a real estate professional.

Case Study 2: Client Since 2016

A developer needed to secure a gated community while allowing construction vehicles access during working hours. We configured a telephone-connected program to send an opening signal at 7:15 a.m. and a closing signal at 4:15 p.m. each weekday. The schedule supported site access while helping maintain controlled entry.

Reporting and Accountability: Logs record each call to the gate equipment and whether an open or close signal was sent, providing a clear record for later review.

Residential & Commercial Services
HVAC, Plumbing, Electrical, Refrigeration, Roofing, and Cleaning Services

Case Study 1: Client Since 2005

We support contractors ranging from small residential service businesses to commercial organizations with more than 100 employees. Call handling plans are tailored to each company’s staffing and service requirements.

A large commercial HVAC client improved dispatch efficiency by replacing sequential telephone calls with secure smartphone messages. When the on-call technician reads a message, a receipt records the technician’s name and the time. If the message remains unread beyond the client’s specified interval, the operator calls the technician and then escalates to a backup technician or supervisor as needed.

Reporting and Accountability: Detailed email reports identify the technician notified, the delivery time, and the customer information. These records support billing, follow-up, and supply replenishment.

Commercial Property Management

Case Study 1: Clients Since 1995, 1996, and 1998

For one commercial property management client, we maintain a directory of 140 properties supported by nine maintenance crews. The directory is updated as properties change and on-call assignments rotate. Operators distinguish urgent issues from requests that can wait, then route urgent calls to the crew responsible for the property. Routine requests are emailed or faxed the next business day.

Reporting and Accountability: Prompt notification can help limit damage from plumbing failures, roof leaks, and other urgent problems. Clients receive two daily emails: a detailed report of urgent calls and dispatch actions, and a report of routine maintenance requests. Call recordings provide an additional record of each conversation.

Case Study 2: Client Since 1999

A property management company asked us to handle calls from elevator emergency equipment. Working with the manufacturer’s information, we developed procedures for equipment from several suppliers. Operators establish two-way communication with passengers to determine whether someone is trapped or the help button was pressed accidentally.

Elevators within a building can be programmed to dial a shared number. The number identifies the building and its emergency contacts, while the recorded equipment information identifies the individual elevator car.

Reporting and Accountability: Every elevator call is treated as a potential emergency. If a passenger is trapped, each dispatch attempt is documented with the date, time, and telephone number called. Recordings preserve the conversation for review.

Apartment Complex Management

Case Study:

Apartment maintenance calls are classified according to criteria established by the property manager. Operators enter the issue into a directory that identifies it as urgent or routine. Urgent calls are dispatched; routine requests are held for the next business day. The following examples illustrate one client’s criteria:

Example 1: Plumbing. A nonworking toilet is urgent when it is the apartment’s only toilet. If another toilet is available, the request is treated as routine.

Example 2: Lighting. A single failed light inside an apartment is routine when other lights work. Failed lighting in a shared hallway is treated as urgent.

Example 3: Heating and Cooling. Air-conditioning issues are classified according to the property manager’s temperature thresholds. Heating calls follow a separate set of criteria.

Example 4: Water Leaks. Uncontained water is treated as urgent. A contained leak, such as a dripping faucet, is classified as routine.

Consistent screening helps maintenance teams focus on urgent issues while keeping routine requests organized for the next business day.

Reporting and Accountability: The office receives separate daily reports for urgent and routine calls. Urgent reports show when each call arrived, who was contacted, and the time and number used for every message or telephone attempt. Recordings provide additional documentation for tenant inquiries.

Manufacturing & Distribution

Case Study 1: Client Since 2006

A unionized manufacturing plant needed an independent service to record employee absence and late-arrival notifications. We created a separate call-in number and issued a unique confirmation number for each report. Notifications are faxed before shifts, and a daily CSV report goes to human resources. The client uses these records to maintain a searchable history of employee call-ins, with recordings available for follow-up questions.

Reporting and Accountability: Supervisors receive staffing information before their shifts, employees receive confirmation numbers, and human resources receives consistent records for attendance administration.

Case Study 2: Client Since 2010

A distributor of heavy construction equipment and portable generators needed after-hours support for its corporate office and 10 stores. The client estimated that 15%–25% of its business occurred outside regular hours. We combined an automated attendant with live operators to handle these inquiries.

Calls are first classified by customer-owned or rental equipment, then by parts or service needs. Operators connect callers directly with the appropriate employee rather than relying solely on message dispatch. This helps customers reach someone who can address their needs promptly.

During storms, power outages, and other disruptions, customers may need a generator urgently. We help the distributor connect quickly with businesses seeking equipment, supporting a timely response when continued power is essential.

Reporting and Accountability: Call records revealed the limitations of relying on a single contact. Based on our recommendations, the client added second and third contacts, improving after-hours coverage.

Other Solutions

Case Study 1: Client Since 2007

We provide daytime backup and after-hours answering for an energy supply company’s headquarters. Department and employee directories let us route calls to approximately 400 employees across 30 departments. The same information supports requests ranging from internal contact details to facilities assistance and media inquiries.

The client updates its staff and contact directory several times each year, helping us maintain accurate routing.

Reporting and Accountability: Call records show when inquiries reach our operators. This helps the client coordinate internal staffing with answering coverage across time zones.

Case Study 2: Client Since 2015

A water district needed scheduled check-ins for an employee working alone after-hours. Our system sends a secure message hourly after business hours and around the clock on weekends and holidays. If no read receipt arrives within 10 minutes, an operator calls the office telephone, which activates bells throughout the site. If there is no response within another five minutes, the operator follows the client’s emergency escalation procedure.

Reporting and Accountability: Daily email reports document each check-in and the employee’s response.

Case Study 3: Client Since 2014

A data center needed help separating routine system notifications from environmental alarms. Our IT team developed a program that filters scheduled test messages and sends temperature, humidity, power, and other designated alerts to an operator for dispatch. The number of monitored facilities has since tripled.

Reporting and Accountability: Both the data center and Business Centers receive the initial alert. We work together to maintain clear criteria for the notifications requiring action.
